VMS Post-Demo Follow-Up Email Drafts

Demo date: February 27, 2026 (in-person at VMS, Twinsburg OH) Updated: 2026-03-02 — EPMS Connect API docs reviewed; GenFit intro added

To: ekahle@vmsinc.com CC: dan@ordermatic.co Subject: Ordermatic — Follow-Up from Thursday’s Demo

Hi Eric,

Thanks again for having us out Thursday — it was great to see the operation firsthand and walk through everything together.

A few things I want to put in writing:

What we’re committing to:

  • 2-week PoC delivery — extraction running on VMS’s actual PO formats (Gradall, Facil, Nelsen, Supply Technologies, and the rest) with accuracy results you can review before any further commitment.
  • No disruption to your environment — we’ve reviewed the EPMS Connect API documentation John sent over. The integration reads and writes via the existing web service only. Nothing touches your production system until you’ve validated everything.
  • Quote splitting works — we confirmed the ConvertEstimateToOrder workflow in the API supports the “one quote per line item” pattern you’re using today. That’s already built.

Pricing recap:

Item Cost
E4 / EPMS Connect integration (one-time) $15,000
Platform fee $500/month
Per-PO transaction $2.50/PO
Estimated Year 1 total ~$52K
Year 2+ annual ~$37K/year

At ~50 POs/day × 21 working days, that’s roughly $2,600/month in transaction fees — well below the cost of the manual entry time you’re paying for today.

Also, I’d like to connect you with one of our existing E4 customers if that would help — happy to make an introduction so you can hear about their experience firsthand.

Talk soon,

David Boone david@ordermatic.co

Draft 2 — Selinda McCumbers (CSR / Operations)

Section titled “Draft 2 — Selinda McCumbers (CSR / Operations)”

To: smccumbers@vmsinc.com CC: dan@ordermatic.co Subject: Re: VMS PO Examples — Extraction Results

Hi Selinda,

Thank you again for sending those sample POs — they were exactly what we needed. We ran all 7 through the system and wanted to share what we’re seeing.

[ATTACH: Extraction screenshots or export for each of the 7 POs]

A few highlights worth calling out:

  • Gradall scheduled PO: The same part number (82173070) across 3 lines with different due dates extracts as 3 separate line items — not consolidated. Due dates are captured per line.
  • Facil international PO: European number formatting (22.500,00 → 22,500.00) handled correctly. Per-1,000 pricing normalized to per-unit ($0.09/ea).
  • J. Sterling: Revision levels (AA.0, B.0) captured in the line item descriptions.
  • Supply Technologies: VMS part numbers embedded in description text are captured alongside the customer part numbers.

One thing that would help accuracy: if you have a current product cross-reference list (customer part # → VMS part #) in a spreadsheet, we can load it directly into the system so the matching is automatic rather than relying on text extraction.

Happy to walk through any of this on a call if it’d be useful.

Thanks, David Boone david@ordermatic.co

Draft 3 — Norbert O’Brien III → John Eversole (Reference Intro)

Section titled “Draft 3 — Norbert O’Brien III → John Eversole (Reference Intro)”

To: n3@ordermatic.co Subject: Intro Request — VMS / John Eversole

Hey Norb,

We’re moving forward with Visual Marking Systems (VMS) in Twinsburg, Ohio as our second E4 customer. Their IT Director, John Eversole, may have questions about our E4/EPMS Connect integration — primarily around the SOAP API and what the data flow looks like in practice.

Would you be open to a quick call with John if he has questions? No pressure and no formal commitment needed — just a chance for him to hear about your experience firsthand.

If you’re good with it, I’ll make the intro. Let me know!

David

Then, once Norbert confirms, send this to both:

To: jeversole@vmsinc.com, n3@ordermatic.co CC: dan@ordermatic.co Subject: Intro: John Eversole (VMS) ↔ Norbert O’Brien III (GenFit)

John, Norbert — wanted to connect you two.

Norbert O’Brien III runs GenFit and has been using Ordermatic with an E4/EPMS Connect integration for some time now. Norbert, John Eversole is IT Director at Visual Marking Systems in Twinsburg — they’re in the early stages of integrating with us and John may have some technical questions about what the integration looks like from the E4 side.

I’ll leave it to you both to find a time if it makes sense.

Thanks, David Boone david@ordermatic.co

  • Eric email: Ready to send. References the EPMS Connect API docs John sent Feb 11 — shows we’ve done the homework.
  • Selinda email: Needs extraction screenshots/export attached before sending. Run the VMS eval and grab screenshots of the 7 PO results.
  • GenFit intro: Two-step — confirm with Norbert first (Draft 3a), then send the double intro (Draft 3b). Norbert’s email confirmed: n3@ordermatic.co.
  • John E4 docs: No follow-up needed — docs were received Feb 11, already reviewed and reflected in Eric’s email.
